Grants Coordinator

(Flexible Location; best if in Kenya, where our vitamin A work is led or in another country where Helen Keller provides vitamin A)

Established in 1915 with Helen Keller as a founding trustee, Helen Keller International works to save the sight and lives of the most vulnerable and disadvantaged. Headquartered in New York City, Helen Keller Intl currently offers programs in 21 countries in Africa and Asia, as well as in the United States. The organization combats the causes and consequences of blindness and malnutrition by establishing programs based on evidence and research.

Scope of the Position

Helen Keller supports VAS programs in 13 countries of sub-Saharan Africa: Burkina Faso, Cameroon, Cote d’Ivoire, DRC, Guinea, Kenya, Mali, Mozambique, Niger, Nigeria, Tanzania, Senegal, and Sierra Leone. The VAS portfolio is managed by the Regional director for VAS and a team of experts based in Helen Keller Africa offices and its headquarters in New York City. Helen Keller’s VAS program consists in providing support to national governments to ensure distribution of Vitamin A Supplements every 6 months to children under the age of five. In 2021, Helen Keller supported the distribution of more than 30 million supplements.

The Grants Coordinator will be responsible for coordinating all grant processes within the VAS portfolio. He/she will work under the supervision of the VAS Regional Director and collaboratively with all relevant teams in Helen Keller, including country office staff, the Nutrition Technical Unit, Business Development, Finance and Grants & Contracts.

Key Responsibilities

VAS Grant Management

  • As a new position, the Grants Coordinator will establish coordination processes across country offices and with relevant HQ units in relation to proposal development and donor reporting.
  • With leadership from the VAS Regional Director, coordinate proposal development processes by developing proposal calendars, follow up with relevant staff members to receive proposal inputs and ensure technical coherence with proposed VAS budgets.
  • As needed, organize and lead program design meetings for new funding opportunities. This includes coordinating globally and across regions.
  • Support the development of a concrete strategy and systems for VAS grants management, providing specific approaches (including reporting, implementation monitoring and filing) for each type of donor: public, private, individual, etc.
  • Ensure timely and quality reporting and compliance with VAS donors as per contractual obligations and Helen Keller policies.
  • Review donor agreements and coordinate their review with the relevant HQ, regional and country office staff.
  • For all donors, play a lead role in organizing grant opening and closing meetings, in addition to regular grant management meetings, for review of program and financial progress and ensure proper internal and external follow-up for any issues raised.
  • Keep the VAS Regional Director and senior management informed of any projected inabilities to meet contractual obligations, such as not meeting program deliverables, underspending or significant budget variances. Proactively mitigate such risks by regular tracking and analysis of all VAS grants and by proposing solutions.
  • Ensure quality information management related to VAS grants by overseeing grant files, reporting calendars, and updating as necessary. Maintain proper documentation of all VAS projects.
  • Coordinate with VAS teams at the regional and global level for production of timely and quality technical and financial reports that adhere to donor requirements.

Media and Communication

  • Ensure that any ad hoc communication requests from donors and/or HQ are developed (case studies, success stories, blogs, etc.) by VAS program staff as appropriate.
  • Coordinate the production of quarterly internal newsletters to provide updates to country and management teams on the VAS portfolio.
  • Coordinate with External Relations for the production of annual communication reports on VAS for dissemination to individual VAS donors.
  • Coordinate with the External Relations team and VAS regional team for the production and transmission of multimedia contents to donors as per their needs and requirements.
  • Assist the VAS Regional Director and other senior management in donor engagement as requested.

Qualifications

  • Seeking an exceptional English writer/editor with a solid understanding of public health and experience mobilizing resources for non-profit organizations with the following desired experience and expertise:
  • Minimum 8-15 years in fundraising, business development, communications or program design for a nonprofit;
  • Preferred, a Master of Public Health or other relevant postgraduate degree, or equivalent combination of education and experience.
  • Hands-on experience working with donors and prospective donors.
  • Proven track record coordinating and contributing to successful fundraising or business development and proposal writing effort that has secured substantial funding from government, multilateral and private, philanthropic funders.
  • Ability to perform duties that require very close attention to detail and synthesize large amounts of information simultaneously.
  • Ability to prioritize workload, assume responsibility for work, and follow through to completion.
  • Ability and willingness to work under pressure with a positive attitude, as a part of a global team.
